We are committed to only collecting, storing, processing, transmitting or deleting your personal data transparently and in a way that is essential to providing you with the best services. We will inform you of how we use your personal data and for what purposes with the guarantee that we collect, share and store your personal data with reference to the best practices in the field of security and protection of personal data.
When your personal data is collected, stored, processed, transmitted or deleted by other entities, we demand the same level of privacy and security.

1. Who is responsible for processing my personal data?
The data controller is PARALELABISMAL, UNIPESSOAL LDA, (hereinafter “HEXABOARDS” or “Seller”), with Rua Nova da Gandra, nº. 107, 4425-148 Maia (Portugal).
2. What personal data can Hexaboards collect?
In this Privacy Policy, the term “Personal Data” means the set of information that relates to you and that allows us to identify you, directly or indirectly. Your personal data may include, for example, your name, your tax identification number, your contact details (physical or electronic), your transactions and your interactions with us.
We may also receive your personal data from other companies, particularly when they collect, process or store it as part of a service contract.
Hexaboards may collect the following categories of personal data:
a) Customer data – name, address, telephone number, e-mail address, date of birth, gender and signature – when you join a loyalty programme;D
b) Customer data – email – when you subscribe to our newsletter;
c) Customer data – name and tax identification number – when you purchase our products or services;
d) User data from online purchases:

3. How and why does Hexaboards use my personal data?
We use your personal data for the following purposes:
a) Loyalty programme management – to facilitate your purchasing process, ensure the allocation of programme benefits and the management of your Customer account;
b) Marketing and direct marketing – to inform you of news and offers that may be of interest to you;
c) Transaction management – to issue invoices for the purchase of goods and services;
d) Home delivery – so we can deliver your purchases to your home;
e) Customer support contacts – so we can provide you with a support service before, during and after the sale;
f) Guarantees and after-sales support – to enable you to access repair services for the products you have purchased under guarantee and to be able to repair or replace them;
h) Service management – so that we can provide you with the service you have contracted from us, for example, alerts or requests for product stock availability.
4. How long does Hexaboards keep my personal data?
We only keep your personal data for as long as is necessary to fulfil the purposes in point 3. and to comply with the law.
Once the maximum retention period has been reached, your personal data will be anonymised or destroyed/disposed of securely.
The most relevant retention periods are as follows:
a) Loyalty programme management – we hold all your personal data for 3 years after your last purchase in a Hexaboards shop or Online shop. If you have not made any purchases, we keep your personal data for 3 years after you sign up for the loyalty programme;
b) Marketing and direct marketing – if you are a loyalty programme customer, we retain your data for 3 years after your last purchase or, if you have not made any purchases, 3 years after your enrolment in the programme. Otherwise the retention period is 2 years after the last reaction to our communications (e.g. opening an e-mail, clicking on an SMS link, etc.);
c) Transaction management – we retain your data for a period of 10 years;
d) Home deliveries – we retain your data for a period of 10 years;
e) Customer support contacts – we retain the recording of your calls and the record of your written interactions for 6 months;
f) Guarantees and after-sales support – we retain your data for a period of 2 years;
g) Service management – we retain your data for 1 year.
When the maximum retention period defined above expires, we will send you a notification with the option to ask us to keep your personal data for an additional period, thus preventing it from being deleted.
If you make such a request, a new retention period will be applied with a duration corresponding to that pre-defined for the processing purposes in question.
For example, if you ask us to keep your Loyalty Programme Management personal data for longer than the maximum retention period (3 years after the date of your last purchase or 3 years after your enrolment in the programme), this data will be kept for an additional period of 3 years after the date of that request or 3 years after the date of your last purchase.
5. Who can Hexaboards share my personal data with?
Hexaboards may communicate your personal data to third party service providers of Hexaboards, namely companies involved in the purchasing process and collection management, transport, storage, marketing, website hosting and banking agencies.
Hexaboards subcontracts to reputable service providers, who may process customer data exclusively for the purposes established by Hexaboards, complying with the legal rules on personal data protection, information security and other applicable rules. These companies are only provided with the personal data necessary to provide the service in question.
When required by law, we may have to disclose your personal data to authorities or third parties, in which case our control over how your personal data is protected is limited.
6. Does Hexaboards transfer my personal data outside the European Union?
Hexaboards may transfer your personal data to countries outside the European Union in the case of the legitimate interest of the data subject, while maintaining the same level of guarantee for the protection of that data.
7. How does Hexaboards protect my personal data?
We have a variety of information security measures in place, in line with national and international best practices, to protect your personal data, including technological controls, administrative, technical and physical measures and procedures that guarantee the protection of your personal data, preventing its misuse, unauthorised access and disclosure, loss, improper or inadvertent alteration or unauthorised destruction. With regard to information security, we are committed to continuous improvement in our daily activities.
Amongst others, we highlight the following measures:
a) Restricted access to your personal data only by those who need it for the purposes we have set ourselves above;
b) Storage and transfer of personal data only in a secure manner;
c) Protection of information systems through devices that prevent unauthorised access to your personal data;
d) Implementation of mechanisms to guarantee the integrity and quality of your personal data;
f) Permanent monitoring of information systems, with the aim of preventing, detecting and stopping the misuse of your personal data;
g) Redundancy of personal data storage, processing and communication equipment, to avoid loss of availability.
When required by law, we may have to disclose your personal data to authorities or third parties, in which case our control over how your personal data is protected is limited.
8. Why do we use cookies and how do we guarantee your privacy?
